JOB SUMMARY:
The Executive Assistant manages diverse, complex and confidential responsibilities for the Vice President of Marketing and Communications. Provides calendar and travel administrative assistance to the three Associate Vice Presidents of the Division. Provides office, budget and project management support and participates in special projects. Other duties as assigned.
JOB DUTIES:
30% - Essential - Executive Assistant Management:
Coordinates and manages complex office administrative support. Tracks and maintains summary of action items and deliverables for VP; ensures tasks are assigned and completed. Prepares materials and agendas for meetings. Attends meetings as directed by VP and records/transcribes minutes at the VP's discretion. Coordinates with the President's Office and Board of Trustees (BOT) Office for the Executive Leadership Team (ELT) providing materials and ensuring information is communicated to the ELT on behalf of the VP. Reviews, answers and monitors follow up action steps on correspondence and meetings. Maintains highest level of discretion in dealing with sensitive situations and managing highly confidential information. Uses discernment to determine appropriate action for all communication mediums. Exercises sound judgment and counsel.
25% - Essential - Calendar and Travel Coordination:
Coordinates all calendar requests, initiates meeting invites, and provides meeting materials for the VP. Addresses meeting conflicts based on priority and discretion and clarifies meeting objectives to optimize VP's time. Initiates and arranges detailed travel (itineraries, lodging, flights, transportation, conference/event details etc.). Prepares and submits expense reports for the VP. Provides calendar scheduling support (requests, invites) and travel arrangements for the three Associate Vice Presidents in the Division of Marketing and Communications.
25% - Essential - Budget Management:
Monitors budget including tracking expenditures and providing reports as requested by the Vice President. Serves as approver for financial transactions representing the department. Assists with purchasing card reconciliation (receipts/documentation), travel reimbursement receipts and invoice submissions for VP and VP direct reports.
20% - Essential - Office and Project Management:
Develops, implements and administers departmental office systems and procedures. Interprets and communicates policies and processes. Uses project management techniques to manage and coordinate tasks associated with coordination of events, special projects and initiatives across the Division, serving as primary contact for location, travel arrangements, refreshments and/or meals. Assists with administrative activities and planning for the Division, including coordination of All Team meetings, staff training and collaboration days, and updating the Division organizational chart. Coordinates recruitment, hiring and onboarding for senior staff positions. Supervises student intern(s) to ensure the efficiency of daily operations in Trustee House. Receives/sorts/prioritizes/distributes mail and other incoming deliveries for Trustee House. Coordinates with Operations staff in monitoring and ordering supply inventory, maintaining facilities tasks and work order submissions. Maintains requests from the general public for information related to Clemson and provides items of donations for elementary and middle school functions; maintains files on these requests.
MINIMUM REQUIREMENTS:
Education - Bachelor's Degree
Work Experience - 3+ years. Proven office administration and customer service skills. Solid working knowledge of office processes and business policy development and of related computer software. Experience managing a budget.
PREFERRED REQUIREMENTS:
Work Experience - 5+ years. Experience managing multiple deadlines with frequent interruptions. Ability to work across teams and with a variety of projects and constituencies.

Monitors Budget - Does not provide input but is responsible for monitoring the departmental budget and may oversee fund allocation.
No Budget Responsibilities - No fiscal responsibility for the department's budget.

COMPENSATION INFORMATION
Expected Salary Range: $ 46,655.00 - $ 70,000.00
Salary is dependent upon several factors including, but not limited to, a candidate's previous experience, knowledge, skills and performance in accordance with Clemson's compensation guidelines.
ESSENTIAL PERSONNEL LEVEL
Normal Operations
Required to follow emergency facility closure directives, and not normally expected work on-site during emergency situations.
