JOB SUMMARY:

Clemson University's Office of Institutional Excellence (OIE) is looking for an Administrative Manager to fulfill the following duties:

  • Reporting to the Vice President for Institutional Excellence, the Office & Administrative Manager oversees and directs the operational and administrative management of the Office of Institutional Excellence
  • Provides executive support to the VP and OIE leadership team
  • Supports fiscal and budget management for OIE
  • Performs other duties as assigned

JOB DUTIES:

35% - Essential - Executive Operations & Leadership Support: 
Provides executive support to the Vice President for Institutional Excellence and OIE leadership team. Manages the operations of the office to ensure alignment and collaboration across executive units. Coordinates with university leadership on behalf of the VP, facilitating communication, scheduling, and alignment of VP's priorities. Builds and maintains strong working relationships with executive assistants across the university to support coordination, information flow, and effective executive operations. Manages and adapts to shifting daily priorities, proactively identifies potential issues and implements solutions, while maintaining high standards of confidentiality and professionalism.
30% - Essential - Office & Administrative Operations Management: 
Oversees the daily administrative operations of the Office of Institutional Excellence, ensuring related work is organized, prioritized, and completed in a timely and compliant manner. Serves as the OIE human resources liaison supporting payroll and personnel actions as needed. Hires and supervises student interns/employees. Establishes and maintains office procedures, record-keeping systems, and office supplies/materials. Coordinates related workflows and processes and ensures follow-up on requests and deliverables across the office and leadership team.
20% - Essential - Communication & Meeting Coordination: 
Coordinates meetings, prepares agendas and materials, and ensures timely communication and follow-up for the VP and Institutional Excellence leadership team. Serves as a central point of contact for the Office of Institutional Excellence, ensuring inquiries are addressed or routed appropriately. Supports consistent and professional communication across the office, including facilitating information flow among the OIE team and campus partners.
15% - Essential - Fiscal & Budget Support: 
Supports the financial operations of the office by assisting with budget tracking, monitoring expenditures, managing the office purchasing card (p-card) and maintaining accurate financial records. Coordinates procurement, travel, and expense processing in accordance with university and state policies, ensuring timely and accurate documentation. Assists in budget planning and tracking activities and provides administrative support for financial reporting and reconciliation to ensure accountability and compliance with University policy and process.

MINIMUM REQUIREMENTS:

Education - Bachelor's Degree

Work Experience - Relevant experience in administrative services, public administration or business management.

PREFERRED REQUIREMENTS:

Education - Bachelor's Degree - Communication, Business, Public Administration, or related field

Work Experience - 5+ Years

RESPONSIBILITIES

JOB KNOWLEDGE
Fundamental Job Knowledge - Fundamental working knowledge of concepts, practices and procedures and ability to apply in varied situations
SUPERVISORY RESPONSIBILITIES
Supervises Student Workers only - Supervises Student workers only
BUDGETARY RESPONSIBILITIES
Monitors Budget - Does not provide input but is responsible for monitoring the departmental budget and may oversee fund allocation.

PHYSICAL REQUIREMENTS:

  15% - Stand for prolonged period
  60% - Sit (stationary position) for prolonged period
  15% - Walk or move about
  60% - Communicate, converse, give direction, express oneself
  10% - Extends hands or arms in any direction

WORK SCHEDULE:

Standard Hours: 37.5 Hours / Week

COMPENSATION INFORMATION

Expected Salary Range: $ 57,700.00 - $76,000.00

Salary is dependent upon several factors including, but not limited to, a candidate's previous experience, knowledge, skills and performance in accordance with Clemson's compensation guidelines.

ESSENTIAL PERSONNEL LEVEL

Normal Operations
Required to follow emergency facility closure directives, and not normally expected work on-site during emergency situations.
