ADMINISTRATIVE COORDINATOR I
Provides administrative and clerical support for the Department of Psychology's faculty, students and staff by utilizing Clemson University Business Systems (e.g., Buyways). Manages the purchasing needs of the department. Assists the chair and faculty with special projects and administrative needs. Performs other duties as assigned.
35% - Essential - Fiscal Management:
Liaison to the college business office: Compiles receipts, invoices and other documentation for fiscal transactions. Serve as purchaser for Buyways and p-card. Serves as a liaison to Departmental purchasers to advise on fiscal policy and procedures. Maintains and orders office supplies and equipment. Prepares deposits when required. Manages procurement according to State policy and procedures. Complies with Clemson University's procurement policies.
25% - Essential - Office Management:
Serves as the front line contact for guests, visitors, other departments on campus, and external vendors. Serves as the point person for building/classroom concerns. Provides administrative support to the office manager for personnel and payroll functions. Coordinates lunches for faculty meetings and other departmental events. DAT (department assisted tracking) system liaison for items less than $5,000 housed on campus. Items housed at IEA to be managed by IEA personnel. Manages outgoing and incoming mail.
20% - Essential - Travel Coordination:
Coordinates and manages travel plans for faculty and undergraduate students, including prospective faculty, and other departmental guests. Assists graduate program assistant with travel for graduate students and prospective graduate students. Coordinates sign-ups for different meetings, and develops and distributes the resulting itineraries. Advises travelers on proper procedures and allowable charges. Ensures that expenses are reimbursed to the traveler.
10% - Essential - Student Services:
Coordinates departmental information displayed on interactive monitors and social media; conducts periodic review of departmental website to ensure information is up to date and correct. Prepares and edits documents for faculty. Assists with room assignments and course scheduling, and monitoring and proctoring makeup exams.
10% - Essential - Development Liaison:
Works with the university development office, prospect research, creative services, and the college public relations department to maintain the Psychology department alumni fundraising strategy. Works to enhance alumni outreach via social networking and the annual departmental newsletter. Coordinates special events and thank you notes to provide recognition and appreciation to departmental donors.
