JOB SUMMARY:

 

Facilitate all processes (manual and electronic) required for the fulfillment of academic transcript requests and perform timely updates for all online student academic record edits. Provide essential support by advising students of both Federal and State privacy laws regarding transcripts, academic records, transfers credit policies and records updates, as well as support to graduation related processes. Apply policy knowledge to record keeping requirements. Performs other duties as assigned.

JOB DUTIES:

 

40% - Essential - Student Transcript Request Management: 
Manage daily transcript requests received electronically and through the mail. Validate requester eligibility and personal identification in the IROAR student information system. Record all necessary requests in the online system for daily generation of transcripts. Manage the daily release of all transcript print programs in the IROAR student information system. Coordinate and compile documents to fulfill subpoenaed records. Fulfill enrollment and degree verification requests. Sort all requests according to a retention schedule approved by the Commission of State Archives. Advise students and third parties on the Family Educational Rights and Privacy Act (FERPA) 1974 and limits or denies access to education records as requested by Federal and State laws. Reconcile daily deposits from transcript revenue. Calculate and distribute daily sales tax and postage obligations to appropriate accounts. Compile monthly statistical reports for all transcript request activity.
40% - Essential - Record Maintenance: 
Maintain academic records for enrolled students in the IROAR student information system through timely data entry updates. Enter academic course record adjustments such as grade-changes and Academic Forgiveness requests. Certify documentation requirements for coursework approval for students receiving credit from a transfer institution and Advanced Placement. Advise students of institutional policy regarding all transfer credit and the recording of acceptable transfer credit to a student's academic record. Verify and audit academic record summary updates that have been authorized to ensure both accuracy and completeness of data. Maintain student's permanent record files according to the retention schedule approved by the Commission of State Archives in Banner Document Management. Manage digital student record files for accurate scanning, indexing and easy document retrieval. Assist with special projects.
20% - Essential - Graduation Management: 
Assist in the graduation ceremony rotation through the preparation and mailing of diplomas three times annually. Verify both student financial indebtedness and student academic honors requirements prior to distribution of diplomas after each of the graduation ceremonies. Record degree statement enhancements to student academic records prior to each graduation. Record posthumous and pre-professional studies degree statements and graduation-related transcript holds to student's academic records.

MINIMUM REQUIREMENTS:

 

Education -  High School Diploma or Equivalent
Experience -  1 year of relevant experience with data entry, processing, and/or reporting

COMPENSATION INFORMATION

 

Anticipated Hiring Range ($34,000.00 - $40,000.00)
 

Salary is dependent upon several factors including, but not limited to, a candidate's previous experience, knowledge, skills and performance in accordance with Clemson's compensation guidelines.

ESSENTIAL PERSONNEL LEVEL

 

Normal Operations
Required to follow emergency facility closure directives, and not normally expected work on-site during emergency situations.
